Guest Agreement & Booking Terms

Experience Dates: January 14–23, 2027

Love, Beads & Culture: Ghana is a privately hosted birthday experience curated by Lovisa for invited guests, with a thoughtfully planned itinerary designed to be experienced together.

These terms explain what is included, guest responsibilities, payment requirements, cancellations, and other important details related to participating in the experience.

Your Experience Package

The Love, Beads & Culture Experience Package is $650 per guest and includes the scheduled group activities and excursions listed in the itinerary, along with included transportation, admissions, select meals and refreshments, guest resources, coordination, and other items specifically identified as included.

The itinerary is thoughtfully planned, but timing, activities, restaurants, transportation, or other details may occasionally change because of weather, traffic, availability, vendor changes, local conditions, safety considerations, or other unexpected circumstances.

If a change is necessary, every reasonable effort will be made to provide a comparable experience and protect the overall quality of the trip.

Airfare & Accommodations

Guests are responsible for booking and paying for their own airfare and accommodations.

Airfare and accommodations are not booked through or included in the Love, Beads & Culture Experience Package.

Please make sure your individual travel arrangements allow you to participate in the scheduled group experience.

Reserving Your Place & Payment Options

Guests may choose one of two payment options:

  • Pay Deposit — $150
  • Pay in Full — $650

The $150 reservation deposit is non-refundable and is applied toward the total $650 Experience Package price.

If you choose the deposit option, your remaining $500 balance is due by December 4, 2026.

If you choose to pay the full $650 at the time of reservation, only the $150 deposit portion is non-refundable before the final payment deadline.

Your place is considered reserved once your selected payment has been successfully received.

Cancellations & Refunds

The $150 reservation deposit is non-refundable, regardless of which payment option you select.

If you cancel before December 4, 2026, any amount paid above the $150 non-refundable deposit will be refunded.

For guests who paid the full $650 in advance, this means $500 is refundable if you cancel before December 4, 2026.

Beginning December 4, 2026, all Experience Package payments are non-refundable.

Guests who selected the deposit option must pay the remaining $500 balance by December 4, 2026. If the balance is not received by the deadline, the reservation may be canceled and the place released.

Travel insurance is encouraged to help protect against unexpected cancellations, trip interruptions, medical emergencies, and other travel-related circumstances.

Participating in the Experience

Love, Beads & Culture is designed to be enjoyed as a group.

We hope you will participate in the full itinerary, but you may sit out a scheduled activity if needed.

The Experience Package price remains the same regardless of individual participation, and refunds will not be provided for scheduled activities a guest chooses not to attend.

Local Vendors & Partners

Parts of the experience will be provided by independent local drivers, guides, restaurants, attractions, venues, artisans, activity providers, and other businesses in Ghana.

Love, Beads & Culture will coordinate these services as part of the overall guest experience, while each provider remains responsible for delivering its individual services.

Your Travel Responsibilities

Each guest is responsible for having the documents and personal arrangements necessary to travel to Ghana, including as applicable:

  • A valid passport
  • A Ghana visa
  • Required vaccinations or health documentation
  • Personal medications
  • Personal spending money
  • Travel insurance, if purchased
  • Transportation outside scheduled group activities
  • Any other individual travel requirements
  • Please review current travel and entry requirements before departure.

Health, Comfort & Accessibility

International travel and group activities may involve walking, heat, outdoor environments, crowds, stairs, uneven surfaces, long drives, and other normal aspects of travel.

Each guest is responsible for determining whether an activity is appropriate for their individual health, comfort, and mobility.

If you have an accessibility need or accommodation request that may affect your participation, please share it as early as possible so available options can be explored.

Medical & Emergency Needs

Guests are responsible for their own medications, medical care, medical expenses, emergency transportation, and other personal emergency costs.

Guests may be asked to provide an emergency contact and other basic emergency information before the trip to assist with coordination if needed.

Respecting the Group & Ghana

Love, Beads & Culture is intended to be a warm, respectful, and enjoyable shared experience.

Guests are expected to treat fellow travelers, hosts, drivers, vendors, local communities, cultural spaces, and others with consideration and respect.

Behavior that creates a serious safety concern or significantly disrupts the group experience may result in a guest being asked not to participate in an activity or the remainder of the hosted experience. Refunds should not be expected for costs already paid or committed in these circumstances.

Staying Informed

Important information may be shared through email, WithJoy, the Love, Beads & Culture website, a private WhatsApp group, or other designated guest communication channels.

Guests are responsible for reviewing trip communications and responding to requests or deadlines that require their attention.

By Reserving Your Place

By submitting either your $150 deposit or $650 payment in full, you confirm that you have reviewed and agree to these Guest Agreement & Booking Terms and understand that:

  • The Experience Package price is $650 per guest.
  • The $150 reservation deposit portion is non-refundable.
  • If you cancel before December 4, 2026, amounts paid above the $150 deposit are refundable.
  • Beginning December 4, 2026, all Experience Package payments are non-refundable.
  • If you select the deposit option, your remaining $500 balance is due by December 4, 2026.
  • You are responsible for booking and paying for your own airfare and accommodations.
  • You are responsible for your passport, visa, health documentation, and other individual travel requirements.
  • Itinerary changes may occasionally be necessary.
  • Choosing not to participate in a scheduled activity does not reduce the Experience Package price.
  • You agree to the payment, cancellation, refund, and other terms described above.
  • We’re looking forward to sharing a beautiful, meaningful, and memorable experience in Ghana together.
